All Outside Vendors must sign and submit Falls Manor’s Outside Vendor Agreement and Certificate of Insurance (COI) at least 30 days prior to the event date.

Outside Vendors Policies

At Falls Manor, we are committed to delivering seamless and high-quality events. To maintain our standards, all outside vendors must comply with the following policies.

1. Vendor Requirements

a. Pre-Approval – All outside vendors, including but not limited to DJs, bands, MCs, photographers, videographers, decorators, planners, event stylists, florists, bakeries, candy table providers, and balloon arch companies, must receive prior approval from Falls Manor before a client secures their services.

  • Clients must submit a list of potential vendors at least six months before the wedding via email to [email protected].
  • Falls Manor reserves the right to approve or deny vendors at its discretion.

b. Business Verification – All outside vendors must:

  • Be a legitimate registered business in the Tri-State area or surrounding areas.
  • Have an active website or social media page with positive reviews OR be a vendor on The Knot or WeddingWire with positive reviews.

c. Vendor Responsibilities – Outside vendors are solely responsible for their own labor, setup, and breakdown.

  • Falls Manor staff will not assist in vendor setup or execution.
  • Vendors may not use Falls Manor property or request supplies from the venue. An 8ft table will be provided to the DJ upon request, along with access to electric outlets.

d. Setup & Breakdown

  • Vendors have a maximum of 2 hours for setup and 1 hour for breakdown.
  • A $25 fee per 15-minute increment will be charged to the client for exceeding the breakdown time.
  • Additional setup time cannot be extended beyond the allocated limit.

e. Alcohol Consumption – Vendors may not consume alcohol while performing services at Falls Manor.

2. Vendor Fee Policy

The following 4 outside vendor services incur a $100 vendor fee each, all other outside services don’t incur fees:

  • Photographer
  • Videographer
  • Photo Booth
  • DJ
  • This fee applies per service, not per company.
  • For example, if a single company provides both photography and videography, the fee will be $200 ($100 per service).

3. Liability Insurance

a. Coverage Requirement – All outside vendors must carry Liability Insurance with a minimum of $1,000,000 in coverage.

b. Certificate of Insurance (COI)

  • Vendors must add Falls Manor as an additional insured to their policy.
  • The COI must be submitted to Falls Manor at least 30 days before the event.

c. Non-Approved Vendors – If an unapproved vendor arrives at Falls Manor on the event day, entry will be refused, and their services will not be permitted.

d. Failure to Provide COI

  • If an approved vendor fails to submit a COI or submits one without Falls Manor listed as an additional insured, they will not be allowed to provide services on-site.
  • Falls Manor’s day-of management will enforce this policy without exceptions.

4. Vendor Meals

a. Required Vendor Meals – The following in-house vendors must be provided with a meal:

  • Photographers, DJs, Photobooth attendants and Videographers
  • These meals are paid for by the client at half price.
  • Two vendor meals count as one guest toward the required guest minimum.

b. Outside Vendor Meals – Providing meals to outside vendors is at the client’s discretion.

  • If vendor meals are requested, the client must pay for them in advance.
  • If payment is not received, outside vendors will not be provided with a meal by Falls Manor.
